DepEd Gmail Not Receiving Emails – Storage Quota Full

Since Google's 2024–2025 storage policy changes, many DepEd accounts hit quotas quickly (Gmail + Drive + Photos shared pool). When storage is full, **new incoming emails bounce** or fail silently (senders may see "mailbox unavailable" or 552/Quota exceeded bounce).

Symptoms:
- No new mail arrives (but old mail visible)
- Senders report delivery failure
- Storage at 100% in one.google.com

Steps to fix:

1. Check usage immediately
- Go to https://one.google.com/storage/management
- See Gmail vs Drive vs Photos breakdown (Photos auto-backup often culprit)

2. Free space urgently
- Empty Trash & Spam folders in Gmail (they count toward quota)
- Delete large attachments: Search Gmail for `has:attachment larger:10M` → delete unnecessary
- Turn off Google Photos backup: photos.google.com → Settings → Backup → Off (or set to High quality)
- Clean Drive: drive.google.com → Storage tab → Sort by quota used → Delete old modules/photos

3. DepEd-specific notes
- New teachers: Wait 2–5 days after HR activation before heavy use
- Shared Drives (school/division) don't count toward personal quota – move shared resources there
- If quota still blocked: Submit helpdesk ticket to division ITO/MIS (they may request temporary lift or pooled adjustment per DepEd policy)

4. Prevention
- Enable auto-delete for Spam/Trash older than 30 days (Gmail Settings → Filters)
- Regularly archive old emails to Drive as .mbox (export via Takeout)
- Monitor storage monthly

After cleanup, emails should resume within minutes–hours. If not, check MX records via admin console (rare misconfig) or report outage on workspace status dashboard.
