Access Denied / You Need Access Error in DepEd Shared Drive or File

Prepared by Last Revised Mar 6, 2026
Very frequent in DepEd when teachers share modules, forms, or school folders.

Common scenarios:
- Teacher leaves school → files still shared via old account
- Shared link set to "Anyone with link" but DepEd policy restricts
- Shared Drive permissions changed by owner/admin

Quick fixes:

1. Verify you’re signed in with correct DepEd email
- Sign out all accounts → sign in only with @deped.gov.ph

2. Request access
- Click "Request access" button → owner gets email
- Follow up personally (common in small schools)

3. Owner-side fix (if you’re sharing):
- Open drive.google.com → right-click file/folder → Share
- Add recipient’s full DepEd email
- Set Viewer/Editor/Commenter
- For groups: Use division/school group email if set up

4. Shared Drive specific (school/division drives):
- Only managers can add members
- Ask school head or division ITO to add you
- Refresh Shared Drives list: Right-click "Shared drives" → Refresh

5. Browser fixes:
- Try incognito mode
- Clear cache (Ctrl+Shift+Delete → Cached images/files)

Security note: Beware phishing emails claiming "Drive migration/upgrade needed" – never click suspicious links.
