DepEd Google Drive Storage Full – What to Do

DepEd Google Workspace accounts have pooled/individual storage limits (often 100 GB–1 TB depending on region/division; many schools hit caps quickly due to lesson plans, photos, scanned modules).

Common symptoms:
- Cannot upload new files
- "Google Drive is full" or "Quota exceeded" error
- Videos/photos won’t process

Steps to resolve:

1. Check your storage usage
- Go to https://one.google.com/storage
- See breakdown: Gmail vs Drive vs Photos
- Photos often consume the most (auto-backup from phones)

2. Free up space immediately
- Empty Trash (left sidebar → Trash → Empty trash now)
- Delete large files: Sort by quota used (https://drive.google.com → Storage tab)
- Remove duplicates/old modules: Use "Shared with me" or search `larger:10M` / `larger:50M`
- Turn off Google Photos backup: photos.google.com → Settings → Backup & sync → Off

3. DepEd-specific tips
- Use school/division Shared Drives for large shared resources (not My Drive)
- Ask division ITO/MIS to check if your account is under pooled storage policy
- Avoid saving everything in Drive – use external USB for archives

4. If still full after cleanup
- Request temporary increase (rarely granted) via division helpdesk ticket
- Migrate old files to personal Gmail (not recommended for official DepEd files)

Prevention:
- Regularly review storage monthly
- Set Photos to "High quality" (saves space) or turn off backup
- Follow DepEd memo on storage limits (e.g., Division Memo 0021 s. 2024 or later)
